Payroll Specialist - In House

We are currently seeking a detail-oriented and organized Payroll Clerk Assistant to join our Fiscal Team and contribute to our commitment to employee satisfaction and financial accuracy.
Summary:
The Payroll Specialist will be responsible for processing in house employee payroll, maintaining accurate records, and ensuring compliance with relevant laws and regulations. This role requires strong attention to detail, adherence to strict deadline, excellent mathematical skills, and the ability to handle sensitive information with confidentiality.
Key Responsibilities:
- Collect, review, verify, and enter time sheets.
- Resolve discrepancies and calculate payroll for employees on a weekly basis, ensuring accurate timely payments.
- Prepare direct deposit files: transmit ACH files to meet transfer deadline; complete ACH Bank verifications authorization for transmission.
- Assist with weekly payroll-related federal and state tax deposits.
- Familiarity with prevailing wage certified payroll reports and submission to municipalities and state agencies.
- Handle monthly union calculations and remittance reports.
- Maintain and update payroll records, including employee hours, pay rates, deductions, salary changes, benefits and taxes.
- Assist with quarterly and yearend Federal (940, 941, W2, W3) and State (WR1, M941, WTFP) payroll tax filings.
- Ability to handle sensitive information with integrity, and maintain confidentiality regarding payroll information and employee records.
- Ensure compliance with Department of Labor employer requirements and tax laws.
- Continuous learning and professional development to support the improvement of the payroll processes.
- Assist the Fiscal team with general ledger maintenance, analysis, month end close and WIP report calculation.
-Assist with preparation of month and year end financial statements in reporting to outside eyes : Bank, Bonding, CPA, Insurance Audit, Mass DOT Pre-Qualification, and CT DOT Pre-Qualification.
- Assist with estimating clerical tasks and project management clerical tasks, as assigned by the Company from time to time to meet the ongoing needs of the organization and for our multiple sister entities: real estate brokerage, rental property management and land development.
Qualifications and Skills:
- Associate’s degree in Accounting.
- MANDATORY - MINIMUM 5 YEAR IN HOUSE PAYROLL CALCULATION AND PREPARATION EXPERIENCE.
- Highly competent, skilled, and proficient in payroll data entry and MS Office Suite, particularly advanced proficiency in Microsoft Excel, including pivot tables, queries and v-lookups.
- Strong mathematical abilities and analytical skills. Must love working with numbers all day EVERY day.
- Excellent attention to detail and organizational skills to manage numerous documents, data and reports efficiently. Payroll practices in the construction industry is a plus.
- Effective communication skills and the ability to work well within a team. Communicate with people at all levels of the company from business owner to field employees. Adapt to new systems, procedures, and changes in regulations. Must possess the ability work in harmony, to adapt to different personalities, management styles, team composition's, interruptions, and juggle multiple requests. Meet several pressing deadlines in one day.
-Must possess a valid unrestricted Driver's License to attend public bid openings, jobsites, etc.
Hours/Schedule : Office hours = 8am to 4:30pm, 40 hours per week, possible overtime
Work Location - office-based in person - full time
Compensation $ 56,000 to $ 60,000
